Room Change and Vacancy Pull-In Information for Assigned Continuing Upper-Division Students (Summer Process – Prior to Fall 2025 Move In)

Eligibility

Any continuing upper-division student assigned to a physical bed space on campus is welcome to request a room change.  Unassigned students and students with accepted off-campus authorization are not eligible to participate in the process.

General Information

The Room Change and Vacancy Pull-In Request will be available in the Housing Portal beginning May 15 for all continuing upper-division students assigned to on-campus housing.  Requests should be submitted no later than June 15 for consideration.  Students will be contacted no later than July 15 regarding the status of their requests.

Room changes are processed when spaces come available due to housing cancellations (fall study abroad, leaves of absence, students transferring to another institution, etc.).  It is not uncommon for many of these cancellations to come in mid- to late July.  Seniority-based random selection is utilized to determine room changes.  Housing anticipates high demand with limited space availability.  Room changes are not guaranteed.

Room Change Information

Room changes will be processed utilizing seniority and random selection, pending space availability and are not guaranteed.  Students will be contacted no later July 15 regarding the status of their request.  Requests will be processed on a rolling basis beginning in June therefore students interested in a room change are encouraged to submit their requests as soon as possible.  Students must continue to check their Vanderbilt email throughout the summer months as all offers will be made via email.  Students are not obligated to accept an offered room change.

Vacancy Pull-In Requests

Students residing in group living (apartments, doubles, Mayfield lodges, and Residential College suites) are welcome to pull in other continuing upper-division students of their choice to fill any vacancies that may result from original occupants transferring, taking a leave of absence, studying abroad, or completing an out-of-town internship.  Students with off-campus authorization are not eligible to fill on-campus housing vacancies.  Residential College suite vacancies must be filled by other rising 3rd-year year students or greater.

Students with an on-campus housing assignment interested in moving to a vacancy in a friend’s double, suite, apartment, or lodge must submit the Room Change and Vacancy Pull-In Request in the Housing Portal by July 15.  Students who submitted an Unassigned Student Application should email Housing at housing@vanderbilt.edu if they would like to fill a vacancy in a friend’s space (if they did not already note their request on their Unassigned Student Application).

All students assigned to the apartment, double, Mayfield lodge, or Residential College suite who will occupy the space for the fall 2025 semester must also email Housing (housing@vanderbilt.edu) to confirm the student/s requesting to be pulled in by July 31.  The student/s departing the space and creating the vacancy/vacancies should NOT send an email confirmation.

Once all requests/emails are received (from both the student/students filling the vacancy/vacancies, and all fall 2025 occupants), Housing will process the request and students will receive a confirmation email.
